The Annual Meeting of ASHS is where the latest science and technology is being showcased related to horticulture. Our mission is to bring together horticulture researchers, scientists, industry, academia, government, and students to cultivate ideas and share new techniques.
The meeting focuses on the distribution of science through technical sessions, poster and abstract presentations, keynote speakers, and workshops. Enjoy networking and group activities where you can catch up with peers. There is also a spotlight on students–from career path mentoring to competitions and group activities to create relationships that can last throughout your career.

International Registration Package
International ASHS members and non-members can register for the ASHS conference at the Hilton Waikoloa using the “International Registration Package.” This includes conference registration, 5-night hotel stay, and a ticket to the Welcome Reception.
(International Package cost: ASHS international members = $1735; nonmembers $1980)
Please note, the hotel reservation for those registering for the international package will not be confirmed until ASHS receives your full payment. In addition, you must confirm your desired arrival and departure date in the registration system. Contact ASHS at 703-836-4606 or e-mail your request to firstname.lastname@example.org with any questions.
Registration Cancellation Policy:
Requests for refund of Conference registration fees and special events must be made in writing and will be processed under the following schedule:
Refund requests received
• on or before May 1 = Full refund (less a $30 processing fee and applicable credit card fees)
•from May 2 through June 7 = 75% refund (less a $30 processing fee and applicable credit card fees)
•from June 8 through June 28 = 50% refund (less a $30 processing fee and applicable credit card fees)
•on or after June 29 = no refund
Please note: Conference horticultural and sightseeing tours cannot be refunded as fees are paid to outside vendors and ASHS is not able to be reimbursed for these fees.
Any refunds requested 45 days prior the conference will be processed 15 days after conference conclusion.

Notice for International Registrants:
Please allow sufficient time to contact the proper officials in your country and obtain the necessary visas for travel to and from the conference. Please note that ASHS cannot fulfill requests for invitation letters without a paid registration.
If you fail to obtain a travel visa, requests for registration refunds will be granted only if the visa application has been refused and ASHS is informed of this 30 days prior to the start of the conference.
The request for refund must be accompanied by a copy of the refusal letter from the embassy.
A request for refund may be denied if these conditions are not met.
Facilities Usage Fee
Where to stay?
We know that, for many attendees, finding the lowest possible hotel rate is paramount, and we are aware that often people choose to stay on the outskirts of town and then choose to drive to the conference each day.
However, before you book your hotel room for the ASHS Annual Conference, we want to mention the following ….
The American Society for Horticultural Science continues to make every effort to keep costs at a minimum for those attending the ASHS Annual Conference. One way this is done is to make a commitment to the host hotel that a specified number of hotel rooms will be occupied by our conference attendees. In exchange for the hotel room occupation, the property provides ASHS with complimentary meeting space.
Over the last several years, many unsuccessful attempts have been made to explain this process to conference delegates. In 2004, ASHS did not fill its committed number of sleeping rooms, and, as a result, faced hefty penalty fees. Individuals who choose to stay at non-host hotels receive the benefit of the conference facilities, but do not contribute to the necessary commitments that allow the Society to use meeting space on a complimentary basis. Therefore, the ASHS Board of Directors instituted a “Facilities Usage Fee” for those who attend the conference, but choose not to stay in the host hotel.
The $250 Facilities Usage Fee will apply only to those who register (including exhibitors, speakers, students, etc.) for the conference (with the exception of guests), but choose not to stay at the host hotel.
We encourage all conference attendees to avoid this Facilities Usage Fee and stay at the host hotel. Please be aware that if you are sharing a room with another delegate, both names must appear on the room reservation by the hotel reservation cut-off date, otherwise you will be assessed this fee and obligated to pay it in order to pick up your registration credentials.
Staying at the host hotel makes it easy to enjoy the the camaraderie of fellow ASHS members inside and outside of scheduled activities.
Just imagine – no commuting time to conference activities; additional networking time with colleagues; and amenities, such as complimentary internet in the sleeping room, room service, safes, exercise facilities, and restaurants/shops – everything in one convenient location.
It certainly is your choice as to where you desire to stay during the conference, but please understand that ASHS does have contractual commitments that we must honor, and we must do all we can to assure that there are no negative financial implications to the Society and the ASHS Membership.
